Overview

This document outlines the instructions for Stanley InnerSpace 5000 Series Electronic Locks, specifically for products purchased before October 1, 2018. It provides comprehensive guidance on initial setup, programming, troubleshooting, and maintenance for these electronic locks, which are designed for healthcare storage solutions.

Function Description

The Stanley InnerSpace 5000DKE electronic lock is a security device designed to control access to cabinets, primarily in healthcare settings. It utilizes a motor-driven latch mechanism for secure locking and unlocking. The lock's control electronics feature a non-volatile memory capable of storing up to 250 user and supervisor codes. Additionally, it includes an audit trail function that can record up to 1500 access attempts, which can be managed with optional LockView audit trail software. The lock supports multiple access methods, including a numeric keypad, magstripe cards, and dual systems combining magstripe/keypad or prox reader/keypad. This versatility allows for different levels of security and convenience depending on the specific needs of the healthcare facility. The primary function is to restrict unauthorized access to sensitive medical supplies, equipment, or patient information stored within the cabinets, thereby enhancing security and compliance.

Usage Features

The 5000DKE lock is designed for ease of use and programming, offering both numeric keypad and Windows-based LockView software for management.

  • Initial Setup and Programming:

    • Pre-set Code: All new 5000DKE electronic locks come with a pre-set supervisor code of "1-2-3-4-#". This code is programmed using step #1 of the Quick Programming Guide, which is provided with each lock.
    • Changing the Pre-set Supervisor Code: To enhance security, users are instructed to change this pre-set code immediately. This is done by following step #3 of the Quick Programming Guide, which involves inputting a valid supervisor PIN, pressing and holding until beeping stops, pressing and holding again until beeping stops, and then inputting a new supervisor PIN.
    • Deleting the Pre-set Code: After programming a new supervisor code, the original pre-set code should be deleted using step #4 of the Quick Programming Guide. This involves inputting a valid supervisor PIN, pressing and holding until beeping stops, and then inputting the PIN to be deleted.
    • Adding Users and Supervisors: Once the initial supervisor code is set, additional users or supervisors can be added by following the steps outlined in the Quick Programming Guide. Step #2 details how to add a user, requiring a valid supervisor PIN, pressing and holding until beeping stops, and then inputting the new user PIN. Step #3 describes adding another supervisor, similar to changing the initial supervisor code.
    • Adding Users with Specific Slot Assignment: For more granular control, step #5 allows for assigning users to specific slots. This involves a valid supervisor PIN, pressing and holding until beeping stops, entering the desired slot number, and then inputting the new user PIN.
    • Deleting Users or Supervisors: Step #4 also covers deleting existing users or supervisors. This process requires a valid supervisor PIN, pressing and holding until beeping stops, and then inputting the PIN to be deleted.
    • Deleting Users with Specific Slot Assignment: Step #6 provides instructions for clearing a user from a specific slot, which involves a valid supervisor PIN, pressing and holding until beeping stops, entering the slot number to be cleared, and confirming by entering the slot number again.
  • Factory Reset:

    • In situations where the pre-set lock code is unknown or the lock is malfunctioning, a factory reset can be performed. This allows the user to reprogram a new unique supervisor code.
    • Procedure:
      1. Locate the green serial number tags/labels provided in a sealed envelope on the back of the cabinet.
      2. Identify the 14-digit code marked "Factory Rst" (reset) on the green label.
      3. On the lock keypad, press and hold the "#" button until beeping stops.
      4. Enter the 14-digit Factory Reset code followed by the "#" button. Multiple beeping sounds will confirm the reset.
      5. After the reset, follow step #1 of the Quick Programming Guide ("Getting Started") to program a new Supervisor Access code.
    • Important Note: It is crucial to record this new supervisor access code and store it in a secure location, as it becomes the valid supervisor access code for that specific cabinet, allowing all cabinet access, as well as the addition and deletion of users.
  • Record Keeping:

    • Each 5000DKE electronic lock has a unique serial number. It is vital to associate this serial number with the specific lock and cabinet it is installed in. Barcode and serial number tags are provided for record-keeping. These tags include the serial number, pass code number, user reset number, and factory reset number.
    • These numbers should be filed in a safe place for future reference. It is also recommended to tag or label each cabinet to easily identify the corresponding lock.

Maintenance Features

The primary maintenance feature detailed in the document is the process for replacing the lock batteries, which is essential for continuous operation.

  • Accessing a Cabinet to Replace Lock Batteries:
    • If the lock batteries die or lose function, preventing access, there is a procedure to unlock the cabinet and replace them.
    • Procedure:
      1. Obtain a 9-volt battery.
      2. Locate the "jump ports" (two metal contact points) on the bottom of the lock keypad.
      3. Press the 9-volt battery firmly against these jump ports.
      4. While maintaining contact between the 9-volt battery and the jump ports, enter the Supervisor code on the keypad. This will temporarily power the lock and allow it to unlock.
      5. Once the cabinet is unlocked, locate the lock battery pack inside the cabinet door.
      6. Using a small Phillips-head screwdriver, remove the four (4) screws on the back of the battery compartment.
      7. Replace the four (4) AA batteries inside the pack.
      8. Replace and secure the battery pack cover.

This comprehensive guide ensures that users can effectively set up, program, manage, and maintain their Stanley InnerSpace 5000 Series Electronic Locks, ensuring secure and reliable storage solutions in healthcare environments.
