These phones are characterized by their superior sound quality on both handset and speakerphone, multiple line appearances, ergonomic design, easy-to-read display, and convenient access to features like voicemail, directories, and conferencing. The voicemail system offers two main methods for message management: Visual Voicemail and a traditional audio-prompt-based system.

Function Description

The core function of the Mitel IP480g/485g Voicemail is to store and allow retrieval of voice messages. When new messages arrive, a blinking red light on the upper right corner of the phone and a voicemail icon on the display screen alert the user. The system facilitates listening to, replying to, forwarding, saving, and deleting messages. It also allows for personalization of greetings and names.

Usage Features

Visual Voicemail:

Visual voicemail provides an intuitive interface on the phone's display, allowing users to interact with messages without relying solely on audio prompts. This method displays key information at a glance, including the sender's name and phone number, and the date or time the message was left. Unheard messages are typically displayed in black text, while listened messages appear in gray. Users can customize the display order to show either the most recent or oldest messages first.

  • Accessing Visual Voicemail: To access, users press the "Voicemail" button and enter their voicemail password. The voicemail inbox is then displayed.
  • Navigating Messages: The ▲ and ▼ navigation keys allow users to scroll through messages.
  • Listening to Messages: Users can choose to listen via the handset (by picking it up), a headset (by pressing the '?' button or taking a wireless headset off-hook), or the speakerphone (default).

  • Initiating a Reply: After accessing the voicemail inbox, press the "More" soft key twice.

    • Reply All: Press the "More" soft key, then "Reply All" soft key. This opens the "Compose Voicemail" page.
  • Adding Recipients (for Reply All):
    • Press the "To..." soft key.
    • Use ▼ and ▲ navigation keys to scroll through the Directory and "Select" recipients.
    • Press "List" to verify recipients. Users can "Deselect" unwanted names or return to the "Directory" to add more.
    • Press "Back" to return to the "Compose Voicemail" page.

    • Scroll to "Subject" using ▼, then press "Edit."
    • Use "Clear" to delete all text or "Backspace" for individual characters.
    • Toggle text-entry modes with "1 -> aA" and use the keypad to enter text.

    • Urgent: Scroll to "Urgent" with ▼, then "Toggle."

  • Press "More" soft key, then "Saved" soft key.
  • Use ▲ and ▼ to navigate saved messages.
  • Actions on Saved Messages:
    • Details: "Open" soft key.
    • Delete: "Delete" soft key.
    • Play: "More" soft key twice, then "Play" soft key.
    • Call Back: "More" soft key twice, then "Call Back" soft key.
    • Move to Inbox: "More" soft key twice, then "To inbox" soft key.
    • Exit: "Exit" soft key.

Deleting Messages in Visual Voicemail:

  • From Inbox: Access voicemail, navigate to message with ▲ and ▼, then press "Delete."
  • Saved Messages: Access voicemail, "More" soft key, "Saved" soft key, navigate to message, then "Delete."
  • Repeat for multiple deletions. "Exit" when finished.

Traditional Voicemail System (Audio Prompts):

This system is navigated by dialing into the voicemail system and following audio prompts. A steadily flashing red light indicates unheard messages.

  • Logging In:

    • From Own Extension: Press # (on-hook or off-hook with dial tone) or the "Voicemail" button (and "Call VM" soft key on IP480/480g/485g). Enter password, then #.
    • From Another Extension: Press # (on-hook or off-hook) or "Voicemail" button (and "Call VM" soft key). At password prompt, press #, enter extension, then password, then #.
    • From External Phone: Dial voicemail access number. At prompt, press #, dial extension, enter password, then #.
  • Listening to, Replaying, Saving, and Deleting Messages:

    • Log in to voicemail.
    • Press 1 to listen to new messages.
    • During playback, press 1 to replay, 2 to save, 3 to delete.
  • Forwarding a Message:

    • Log in, press 1 to listen to new messages.
    • After listening to the message, press 4.
    • Record a prefacing remark. Options: # to accept, 1 to review, 2 to rerecord, * to cancel.
  • Replying to a Message:

    • Log in, press 1 to listen to new messages.
    • After listening to the message, press 5.
    • Options: 1 for voice message reply, 2 for call back reply, 3 for reply all with voice message, * to return to previous menu.
  • Menu of Message Options (after listening):

    • 1: Previous message.
    • 2: Reply to ShoreTel voicemail message.
    • 3: Call sender.
    • 4: Replay message.
    • 5: Hear envelope information (day, date, time).

    • 9: Save message.
    • *: Return to previous message.
    • 0: Skip to end of message.
