Overview

This document provides a comprehensive guide to operating and maintaining a multifunction device, covering its core functionalities of copying, faxing, emailing, and printing, along with essential maintenance procedures.

Function Description

The device serves as an all-in-one solution for various office tasks, integrating copying, faxing, emailing, and printing capabilities into a single unit. It is designed to handle a range of document types and sizes, offering both basic and advanced features to streamline workflow.

Copying

The copying function allows users to duplicate documents efficiently. Users can load original documents either into the Automatic Document Feeder (ADF) tray for multiple pages or onto the scanner glass for single pages or delicate items. The device supports basic copying, where users can specify the number of copies and adjust settings as needed. For quick copies, a dedicated button on the control panel is available. Advanced copying features include two-sided copying, which allows users to duplicate documents on both sides of the paper, and the ability to copy multiple pages onto a single sheet, optimizing paper usage. The device ensures that the output paper size matches the original to prevent cropping.

Faxing

The faxing capability enables the transmission of documents over telephone lines. Users can send faxes directly from the device's control panel by loading the original document into the ADF tray or onto the scanner glass, entering recipient information, and configuring any necessary fax settings. Alternatively, faxes can be sent from a computer using the Universal Fax driver. For Windows users, this involves accessing the Print dialog from the document, selecting the printer, and then enabling faxing to enter recipient details. Macintosh users follow a similar process through the File > Print menu. The device supports configuring various fax settings to meet specific transmission requirements.

E-mailing

The e-mailing function allows users to scan documents and send them as email attachments. Originals are loaded into the ADF tray or onto the scanner glass. From the control panel, users select the E-mail option, enter recipient information, and can choose to configure output file type settings. For non-touch-screen models, a shortcut number can be used via the keypad. The device also supports selecting recipients from an address book, simplifying the process for frequent contacts.

Printing

The printing function enables the output of digital documents onto physical paper. Users can print from a computer by opening the Print dialog from their document, adjusting settings as needed, and then initiating the print job. The device supports various paper sizes and types, including labels, card stock, and envelopes, provided these settings are configured in the printer before printing.

The device also supports mobile printing through several services:

  • Google Cloud Print™: This service allows printing from any Google Cloud Print-ready printer, provided the printer is registered to the Google Cloud Print server and the Cloud Print plugin is downloaded and enabled on the mobile device.
  • Mopria® Print Service: Designed for Android devices (version 4.4 or later), Mopria enables direct printing to any Mopria-certified printer. Users need to download and enable the Mopria Print Service application from the Google Play store.
  • AirPrint: This solution facilitates printing directly from Apple devices to AirPrint-certified printers. It is supported on specific Apple devices and printer models.
  • Wi-Fi Direct®: This service allows printing to any Wi-Fi Direct-ready printer, requiring the mobile device to be connected to the printer's wireless network.

The device also offers features for printing confidential and other held jobs, allowing users to secure sensitive documents. For Windows users, this involves selecting "Print and Hold" from the print dialog, assigning a user name, and choosing a print job type (Confidential, Repeat, Reserve, or Verify). Confidential jobs require a four-digit PIN. Macintosh users follow a similar process through the Job Routing menu. Held jobs are released from the printer's home screen, with confidential jobs requiring the PIN for access.

Usage Features

The device is designed for user-friendliness, with clear instructions for loading paper and managing print jobs.

Loading Paper

Proper paper loading is crucial for optimal performance and to prevent jams.

  • Loading the tray: Users remove the tray, flex, fan, and align paper edges, then load the paper stack faceup. Guides are adjusted to match paper size. Specific instructions are provided for letterhead (faceup with header toward the back for one-sided printing, facedown with header toward the front for two-sided printing) and envelopes (flap side down, against the right paper guide). The stack height must remain below the maximum fill indicator.
  • Loading the manual feeder: The guide is adjusted to match paper size, and a single sheet is loaded faceup. Letterhead should be loaded faceup with the top edge entering first for one-sided printing. Paper should be fed until its leading edge is pulled in, without forcing it.

Setting Paper Size and Type

To ensure correct printing, users must set the paper size and type from the control panel. This is done by navigating to Settings > Paper > Tray Configuration > Paper Size/Type and selecting the appropriate paper source.

Connecting Mobile Devices

For wireless printing, the device supports Wi-Fi Direct. Users must enable Wi-Fi Direct on the printer via Settings > Network/Ports > Wireless > Enable Wi-Fi Direct. The Wi-Fi Direct SSID and password are automatically generated and can be viewed or changed from the Wi-Fi Direct menu. Once enabled, mobile devices can connect to the printer's wireless network.

Maintenance Features

Regular maintenance, including replacing print cartridges and cleaning the scanner, is essential for maintaining print quality and device longevity. The device also provides clear guidance for clearing paper jams.

Replacing a Print Cartridge

Replacing a print cartridge involves several steps:

  1. Open the front door and push it down.
  2. Pull out the print cartridge tray.
  3. Remove the used print cartridge.
  4. Unpack the new print cartridge, taking care not to expose its underside to direct light or touch it, as this can affect print quality.
  5. Insert the new print cartridge.
  6. Insert the print cartridge tray and close the door.

Cleaning the Scanner

To ensure clear scans and copies, the scanner needs periodic cleaning:

  1. Open the scanner cover.
  2. Using a damp, soft, lint-free cloth, wipe the ADF glass, ADF glass pad, scanner glass, and scanner glass pad.
  3. Close the scanner cover.

Clearing Jams

The device provides detailed instructions for clearing paper jams, with illustrations to guide users to specific jam locations. Jam Assist and Jam Recovery features help manage blank or partially printed pages after a jam.

  • Identifying jam locations: The manual identifies five key jam locations: Automatic Document Feeder (ADF), Standard bin, Manual feeder, Tray, and Rear door.
  • Paper jam in the tray: Remove the tray and manual feeder, then remove the jammed paper, ensuring all fragments are cleared. Insert the manual feeder and tray back.
  • Paper jam in the manual feeder: Remove the tray and manual feeder, then remove the jammed paper, ensuring all fragments are cleared.
  • Paper jam in the rear door: Open the rear door. Caution: The inside of the printer might be hot; allow it to cool before touching. Remove jammed paper from the fuser area and below the fuser area, ensuring all fragments are cleared. Insert the manual feeder and tray back, then close the door.
  • Paper jam in the automatic document feeder: Remove all original documents from the ADF tray, open the ADF cover, remove the jammed paper, ensuring all fragments are cleared, and then close the ADF cover.

These comprehensive instructions ensure that users can effectively operate and maintain the device, troubleshoot common issues, and maximize its lifespan and performance.
