VOICEMAIL
To set up your mailbox for the first time, follow these steps:
1. Press *99 or *100 and then the Dial button.
2. Press 1234 (default password).
3. Press 1 for “New Messages”. Press 2 for “Saved Messages”.
For “Mailbox Options” press 4.

Using Vocalocity with your Yealink Phone
PERSONAL MAILBOX GREETINGS
After entering your mailbox options (call *99 or *100 from your
phone and choose option 4):
Unavailable Greeting (greeting that plays if you are on a call, away from
your desk, or unable to answer the call)
1. Press 1 to record your unavailable greeting.
2. After the tone record your desired unavailable greeting and press the
# (pound) key when finished.
3. After playback, press 1 to save or 2 to rerecord the greeting.
Busy Greeting (greeting callers hear if your phone is on Do Not Disturb,
not connected to the internet, or when all line appearances are busy)
1. Press 2 to record your busy message.
2. After the tone record your desired busy greeting and press the #
(pound) key when finished.
3. After playback, press 1 to save or 2 to rerecord the greeting.
Name Greeting (used for company directory)
1. Press 3 to record your name.
2. After the tone record your desired name greeting and press the #
(pound) key when finished.
3. After playback, press 1 to save or 2 to rerecord the greeting.
Record Temporary Greeting (Vacation) (overrides all greetings)
1. Press 4 to record your temporary greeting.
2. After the tone record your desired temporary greeting and press the #
(pound) key when finished.
3. After playback, press 1 to save or 2 to rerecord the greeting.
To Remove Temporary Greeting
1. Press 4 to access the temporary greeting.
2. If you have a temporary greeting set, press 2 to delete the recording.

LISTENING TO MESSAGES

BASIC FUNCTIONS
Making a Phone Call
1. For local calls and long distance: dial the area code and number
(i.e. 404-555-1212).
2. For international calls: dial 011 + country code + number
(i.e. 011-xx-xxx-xxxxx).
Using the Handset
1. Pick up the handset, dial desired number, then press the #
(pound) button.
2. Alternatively, dial the desired number, then pick up the handset
and the phone will begin dialing immediately.
Using Speakerphone
1. Press the Speakerphone button (on the lower right side of the
phone), dial the desired number (or extension number), and
press the # (pound) button.
Using a Headset
1. Plug an approved headset into the headset port on the left side
of the phone.
2. Press the clear Line 1 or 2 buttons, and then press the Headset
button. Dial the desired number (or extension number) and
press the # (pound) button.

Overview

  • Unavailable Greeting: This greeting plays when the user is on a call, away from their desk, or unable to answer. To record, users press 1, record their message after the tone, and then press #. They can then press 1 to save or 2 to re-record.
  • Busy Greeting: This greeting is heard when the phone is in Do Not Disturb mode, not connected to the internet, or when all lines are busy. The recording process is similar to the Unavailable Greeting, using option 2.
  • Name Greeting: Used for the company directory, this greeting is recorded by pressing 3, following the same recording and saving steps.
  • Record Temporary Greeting (Vacation): This greeting overrides all other greetings and is set by pressing 4. The recording and saving process is identical to other greetings. To remove a temporary greeting, users access option 4 and press 2 to delete the recording.

Basic Call Functions

Making a phone call is straightforward:

  • Local and Long Distance: Dial the area code and number (e.g., 404-555-1212).

Switching Between Handset/Headset/Speakerphone During a Call

Users can seamlessly switch between different audio modes during a call:

  • Handset to Speakerphone: Press the Speakerphone button and hang up the handset.
  • Handset to Headset: Press the Headset button and hang up the handset.
  • Speakerphone to Handset: Pick up the handset.
  • Speakerphone to Headset: Press the Headset button.
  • Headset to Handset: Pick up the handset.
  • Headset to Speakerphone: Press the Speakerphone button.

Dialing an Extension

To dial an internal extension, users dial the 3 or 4-digit extension number and then either pick up the handset, press the Speakerphone button, or press the Headset button.

Placing a Call on Hold

To place a call on hold, press the Hold button. The caller will be placed on hold, and the line appearance button will blink red. To retrieve the call, press the Hold button again or press the blinking line appearance button.

Transferring a Call

The phone supports two types of call transfers:

  • Attended Transfer: This allows the user to speak with the recipient before transferring the call. While on a call, press the TRAN button, enter the transfer number, and press #. Once the other person answers, announce the call. To complete the transfer, press the TRAN button again.
  • Blind Transfer: This transfers the call directly without speaking to the recipient. While on a call, press the TRAN button, enter the transfer number, and then press the TRAN button again.

Conference Calling

To initiate a conference call:

  1. While on a call, press the CONF button. The first caller will be put on hold.
  2. Dial the third party's number and press #.
  3. When the third party answers, press the CONF button again to connect all parties.

Call History

The up arrow key provides access to call history:

  • Pressing up scrolls through all calls, starting with the most recent.
  • Arrowing right or left navigates through icons for Inbound Calls (down arrow), Outbound Calls (up arrow), Missed Calls (down arrow bouncing right), and Forwarded Calls (left arrow then up then right).
  • Arrowing down goes through the calls once a selection has been made.

Advanced Functions

Cell Phone Integration

This feature allows users to reroute calls that have been forwarded from their extension to their cell phone back to an office extension or another outside number. On the cell phone, users press ##, enter the desired extension or outside number, and then # again to complete the transfer.

Online Management

Vocalocity provides an online portal for managing various phone settings and features:

  • Logging into your Account Online: Users visit http://my.vocalocity.com and log in with their username and password.
  • Voicemail to Email: This feature sends voicemail messages to an email address. To enable, users navigate to the "Phone System" tab, select an extension, scroll to the "Voicemail PIN and Greetings" section, check the "Send Voicemail to Email" box, enter the email address, and click save.
