Overview

This document is a user guide for the Grandstream GXP1610 IP Phone, provided by Birchills Telecom. It details the phone's functions, technical specifications, and usage features within the context of a Cloud PBX and Portal system.

The Grandstream GXP1610 is an IP Phone designed for business use, integrating with Birchills Telecom's Cloud PBX and Portal network. It functions by converting voice into digital packets, which are then transmitted over the internet, allowing for location-independent communication. The phone arrives pre-programmed (provisioned) and requires only a power supply and an Ethernet cable connection to the LAN port to become operational.

Usage Features:

  • Getting Started: Plug in power and Ethernet. The phone will boot and display "Booting, starting DHCP" before showing the date, time, and "Grandstream" when ready. "NETWORK DOWN" indicates a connection issue.
  • Accepting a Call: Lift the handset or press the speaker key for hands-free.
  • Making a Call:
    • Lift handset and dial the number.
    • Input number and press # or Send key.
    • Press speaker for hands-free, dial number, then press # or Send key.
    • Use the address book.
    • Use navigation keys to select a previously made or received call from history and press # or Send key to dial.
  • Ending a Call: Replace handset (for handset use) or press Speaker key (for hands-free). Press # to end the current call if there are two active calls.
  • Transferring a Call:
    • Announced Transfer (Attended Transfer):
      1. Receive a call (Party A).
      2. Select the second line by pressing the 2nd line key.
      3. Dial the extension or number to transfer to (Party B).
      4. Once Party B answers, Party A announces the call.
      5. If Party B accepts, Party A presses line 1 key followed by the Transfer key.
      6. If Party B declines, Party A presses line 1 key to reconnect with the original caller.

    • Blind Transfer:
      1. Party A presses the Transfer key.
      2. Party A dials Party B's number.
      3. Party A presses the Transfer key again.

    • Transfer to Voicemail: Prefix the 3-digit extension number with '0' (e.g., 0123 for extension 123) when performing a transfer. This also works with call forwarding rules.
  • Easy Conference Mode (3-way conference):
    • Initiate:
      1. Call the first person.
      2. Press the CONF key (a new line appears).
      3. Dial the second number and press SEND.
      4. Press the CONF key again to establish the conference.
    • Split and Re-conference:
      1. During a conference, press the HOLD key.
      2. Calls split and are put on hold (2 LINE keys blink green).
      3. Select a LINE key to resume a 2-way conversation.
    • Cancel Conference: After establishing the second call, press EndCall softkey instead of CONF key to end the second call and return to the first call on hold.
    • End Conference: Hang up to terminate the conference. If one participant hangs up, others on the GXP1610 remain in the conference.
  • Call History:
    1. Press the central menu key.
    2. Select "Call History."
    3. Choose "Answered Calls," "Dialled Calls," or "Transferred Calls" using the Enter key and navigation keys.
    4. Once a number is displayed, press the Dial soft key to call.
  • Phone Book:
    1. Press the Phone Book key.
    2. Navigate with arrow keys, select "phone book," and "add new entry."
    3. Enter name using the keypad (repeated presses for letters, e.g., '2' for 2, A, B, C).
    4. Use the Del key to correct mistakes.
    5. Press Enter for "INPUT NUMBER," enter the phone number, and press Enter again to cycle through "ADD" prompts.
    6. When a registered contact calls, their name is displayed.
    7. To dial a contact: Press Phone Book key, then Enter when "current" appears, cycle to the name, and press Send.
  • Voicemail:
    • Access: Press the Mail key, or dial *95 (own mailbox), *95xxx (specific mailbox, where xxx is the 3-digit mailbox number), or 0 (any mailbox, prompts for mailbox/password).
    • Enable/Disable: Dial *950 from your extension.
    • Configure (after accessing voicemail, dial 0):
      • 1: Record unavailable message.
      • 2: Record busy message.
      • 3: Record name.
      • 4: Record temporary greeting.
      • 5: Change password.
      • #: Exit.
    • Menu (after accessing voicemail):
      • 1: Listen to new messages (email notification by default).
      • 2: Change folders (listen to stored messages, search by name).
      • 3: Advanced Options (currently none).

Network Services (Birchills Telecom Cloud PBX and Portal):

  • Shared Phone Book With Speed Dial:
    • Add: Log into Cloud PBX/Portal, select Phone Book, click Add Entry, enter contact name, number, and a speed-dial (1-999), then save.
    • Call: Dial *0 followed by the speed-dial number (e.g., *01 for speed-dial 1).
  • *Call Recording (1):
    • Configured in Cloud PBX/Portal (no recording, on-demand, or all calls).
    • To start on-demand recording during a call, press *1.
    • Access recordings via Cloud PBX/Portal.
  • Call Pickup:
    • Any ringing extension: Dial *21#.
    • Designated extension: Dial **(extn number) (e.g., **104).
  • Access Group Mailbox: Dial 0, then enter mailbox number (e.g., 701) and password (default 0000).
  • Access Personal Mailbox: Dial *95 or press the MSG key on Grandstream phones.
  • Queue Login:
    • Logout: *98.
    • Login: *96.
  • Withhold CLI: Dial *67.
  • HotDesk (Receive calls on another extension):
    • Activate: From the temporary location, dial *78xxx (where xxx is your 3-digit extension number). You will be prompted for your PIN (set in web portal). Calls will then ring on the new extension, and features like voicemail, recording, and forwarding will operate normally.
    • Deactivate: From any extension (or your own), dial *79xxx (or simply *79 from your own extension). Incoming calls will return to your own extension.

EasyDial+ Chrome Extension:

  • Function: An extension for Google Chrome that integrates with the Cloud PBX and Portal to provide enhanced services.
  • Features: Make calls from your extension, send SMS, access company phone book, view recent calls, call from webpages/address book, cut and paste to dial.
  • Installation: Add from Google Chrome store, then configure with Birchills Cloud PBX/Portal username and password, and select an extension.
  • Dialling: Type number into dialler, click on numbers on web, or right-click to select EasyDial+. Your phone will ring, pick up, and the system dials out.
  • Receiving Calls: Incoming calls and text messages (with caller ID) are presented on screen.
  • Recent Calls: View all recent calls (made/received, answered/unanswered) by pressing the white list button next to the dial button in the EasyDial+ dialler.
  • SMS Messages: Access messaging icon in the dialler. View received messages, send new messages (enter number to send to, number to send from, message content). SMS messages are charged at 10p each.
  • Phonebook: Access contacts via the phonebook icon in EasyDial+. Call or text contacts, update, and add new ones.
