RICOH Multifunction Machine (MP 6503SP) Instructions
One-Time Setup:
Instructions on how to setup your account for the
first time on the new machine are posted on the wall
in Shiffman 124. YOU WILL NEED YOUR
BRANDEIS ID CARD!!!! The first time you
register the card, you will need to scan your card
and then enter your UNet and password (same as
logging into Gmail). After that, you can either just
swipe your card or you can login with your UNet
and password.
After the First Time Setup:
Above is the home screen – this is what it should
look like before you start
To login, you will EITHER swipe your card OR
enter your credentials.
To swipe your card: as long as the black bar is
under the scanner, it does not matter face-up vs. face-
down or forwards vs. backwards.
To enter your credentials: type your UNet (email
without the @brandeis.edu) and password (click OK
after each, then click Log In)
After Logging In:
If you have any printed jobs, they will
appear in your queue and you can click print
from there (see details below)
If you are making copies/scans you will
need to click DEVICE FUNCTIONS (which
brings you to the Copy section....to get to the
Scan section, click the Home button at the
bottom…. more details on page 2)
note: do NOT click Home until you click
Device Functions first. (but if you do, click
Home again and then click PaperCut)
Printing:
When you click print from a document, site, etc. on your computer, choose either:
"brandeis-ricoh-bw" or "brandeis-ricoh-color"
(our machine does not print in color, but you can use either one). Side note: it does SCAN in color!!
The first time you print, you will need to enter your UNet (without @brandeis.edu) and password when a pop
up appears. Make sure that you check the box to remember the credentials, that way you will NOT need to
login every time!

This document provides instructions for using the RICOH Multifunction Machine (MP 6503SP), covering one-time setup, printing, copying, and scanning functions.

One-Time Setup

To set up an account for the first time, users need their Brandeis ID card. The process involves scanning the ID card and then entering a UNet ID (email without "@brandeis.edu") and password (the same as logging into Gmail). After this initial registration, users can either swipe their card or log in with their UNet ID and password for subsequent uses. Instructions for this setup are posted in Shiffman 124.

Logging In

Users can log in by either swiping their Brandeis ID card or entering their credentials manually.

  • Swiping the card: The machine's scanner can read the card regardless of whether it's face-up or face-down, or the direction it's swiped, as long as the black bar on the card is under the scanner.
  • Entering credentials: Users type their UNet ID and password, clicking "OK" after each entry, and then "Log In."

After Logging In

Once logged in, users will see their printed jobs in a queue, from which they can select and print. For copying or scanning, users must first click "DEVICE FUNCTIONS." This action leads to the Copy section. To access the Scan section, users need to click the "Home" button at the bottom of the screen. It's important to click "Device Functions" first before clicking "Home." If "Home" is clicked prematurely, users should click "Home" again, then "PaperCut" to return to the main menu.

Printing

When printing from a computer, users should select either "brandeis-ricoh-bw" or "brandeis-ricoh-color." While the machine itself does not print in color, it can scan in color. The first time a user prints, a pop-up will appear, requiring them to enter their UNet ID and password. Users should check the "remember credentials" box to avoid re-entering login information for future prints. Print jobs remain in the queue for up to four days (to accommodate long weekends) before being automatically cleared to save memory. Once a job is printed, it cannot be printed again from the queue. If a test print is needed, it's recommended to send two copies of the document to the printer and delete the second one if not needed.

Copying

To make copies:

  1. Swipe the card or enter credentials.
  2. Click "DEVICE FUNCTIONS."
  3. Enter the desired number of copies.
  4. Adjust settings for double-sided printing, stapling, etc. The default setting is "1-sided to 2-sided." If "1-sided to 1-sided" is desired, ensure the corresponding button is un-highlighted (not yellow).
  5. Click "START."
  6. If using the glass scanner with "1 to 2 sided" selected, the machine will wait for the second page before printing the first. To print immediately, click the "#" button.
  7. To start another copy job, click "NEW JOB."
  8. Remember to log out after use.

Scanning

To scan documents:

  1. Swipe the card or enter credentials.
  2. Click "DEVICE FUNCTIONS."
  3. Click "HOME" (only after clicking "Device Functions").
  4. Click "SCANNING."
  5. Select "scan to me," which should automatically populate with the user's Brandeis email address. Alternatively, another email address can be entered manually.
  6. Place the page(s) in the top feeder or face-down on the glass.
  7. Adjust settings or click "START."
  8. If using the glass scanner, the machine provides 60 seconds to load another page. Users can either switch the page and click "START" again or click "#" to finish and send the scan to their email. The "Memory" indicator at the top right will show 99% or below until the scan is complete, at which point it will return to 100%.
  9. Remember to log out after use.

Mac Users Only: Finishing Options

For Mac users who need to use finishing options like stapling or hole punching, they must contact the Help Desk (x64357 or via the provided service desk portal link). The Help Desk will gather the necessary information and create a package to be sent to the user's machine, enabling these advanced finishing options.

Maintenance Features
