Overview

This document outlines the operational procedures for Yealink T26P/T28P IP phones, covering essential call management, voicemail, and call forwarding functionalities. It serves as a user guide for making and receiving calls, managing conferences, accessing voicemail, and configuring various call settings.

Making Calls

Outside Calls: To make an outside call, first, take the phone off-hook or press the "Press" button. Then, dial '9' followed by the desired phone number. After entering the number, press the "OK" button or the "Press" button to initiate the call. The call will then be connected, indicated by the "Talk" icon.

Calling Other Extensions: To call another extension, take the phone off-hook or press the "Press" button. Dial the desired extension number. Once the number is entered, press the "OK" button or the "Press" button to connect the call. The "Talk" icon will confirm the call is active.

Answering Calls

To answer an incoming call, simply take the phone off-hook or press the "Press" button. This will connect the call, and the "Talk" icon will be displayed.

Transferring a Call / Call Transfer

Blind / Unattended Transfer: During an active conversation, press the "TRAN" button. Then, dial the extension number of the party to whom you wish to transfer the call and press "TRAN" again. The call will be transferred without prior announcement to the receiving party.

Supervised / Attended Transfer: While in an active conversation, press the "TRAN" button. Dial the extension number of the party to whom you wish to transfer the call and press the "OK" button or the "Press" button. This will put the original caller on hold and connect you to the third party. Inform the third party about the call you are transferring. Once ready, press the "TRAN" button to complete the transfer.

Holding a Call

To Hold: During an active conversation, press the "HOLD" button. This will place the current call on hold.

To Retrieve a Call (Call Hold Retrieve): To retrieve a call that is on hold, press the flashing line key (either "LINE 1" or "LINE 2") associated with the held call. This will reconnect you to the caller.

Making a Conference (Conference Call)

To Establish a Conference: During an active conversation, press the "LINE 2" button. Dial the number of the third party you wish to add to the conference and press the "OK" button or the "Press" button. This will connect you to the third party while the original caller is on hold. Once connected to the third party, press the "CONF" button to merge all parties into a conference call.

To Leave a Conference and Talk to the Original Person: During a conference call, press the "SPLIT" button. Then, press the "LINE 2" button. This will disconnect you from the third party and reconnect you with the original caller. To end this conversation and return to the conference, you may need to press "CANCEL" or "RESUME" depending on the phone's interface.

To Leave a Conference and Talk to the 3rd Person: During a conference call, press the "SPLIT" button. Then, press the "LINE 1" button. This will disconnect you from the original caller and reconnect you with the third party. To end this conversation and return to the conference, you may need to press "CANCEL" or "RESUME" depending on the phone's interface.

To Leave a Conference: To leave a conference call entirely, simply go off-hook (hang up the phone).

Checking Voice Mail

When the message LED light is on, indicating new voicemail, press the "MESSAGE" button. Enter your password when prompted.

  • To Repeat Message: Press '5' (JKL).
  • To Play Next Message: Press '6' (MNO).
  • To Delete/Un-Delete Message: Press '7' (PQRS).
  • To Listen Message: Press '1' to listen to the message.

Voice Mail Setup

To set up your voicemail, press the "MESSAGE" button. Enter your password if prompted.

  • To Record Unavailable Message: Press '1'.
  • To Record Busy Message: Press '2' (ABC).
  • To Record Your Name: Press '3' (DEF).
  • To Record Temporary Greeting: Press '4' (GHI).
  • To Change Password: Press '5' (JKL).
  • To Listen Message: Press '0' to listen to the message.

Checking Call History

Dialed Calls: Press the "RD" button. A list of your dialed calls will be displayed on the LCD screen.

Call List Display: The LCD screen will display the call list. You can switch between different call categories (Dialed Calls, Received Calls, Missed Calls, and Forwarded Calls) by pressing the up or down arrow buttons.

Icons on Top:

  • An arrow pointing up indicates Dialed calls.
  • An arrow pointing down indicates Received calls.
  • A crossed-out arrow indicates Missed calls.
  • An arrow with a curved line indicates Forwarded calls.

Dialing from Call History: To select a desired entry from the call history, use the up or down arrow buttons. Once the desired entry is highlighted, press the "SEND" button to dial out.

Forward Call

To Set Up Time Limited / No Answer Mode:

  1. Press the "MENU" button.
  2. Press '2' (ABC) or choose "Features".
  3. Press '1' or choose "Forward".
  4. Press '3' (DEF) or choose "No Answer".
  5. Select the "Forward to" option and input the target extension number (e.g., 108).
  6. Select "After Ring Time" and set the desired time limit (e.g., 18s).
  7. Press the up arrow button twice and select "Enable" from the "No answer" field.
  8. Press the "OK" button or the "Press" button to confirm.

To Set Up Busy Mode:

  1. Press the "MENU" button.
  2. Press '2' (ABC) or choose "Features".
  3. Press '1' or choose "Forward".
  4. Press '2' (ABC) or choose "Busy".
  5. Select the "Forward to" option and input the target extension number (e.g., 108).
  6. Select "Enable" from the "Busy" field.
  7. Press the "OK" button or the "Press" button to confirm.

To Set Up the Always Mode:

  1. Press the "MENU" button.
  2. Press '2' (ABC) or choose "Features".
  3. Press '1' or choose "Forward".
  4. Press '1' or choose "Always".
  5. Select the "Forward to" option and input the target extension number (e.g., 108).
  6. Select "Enable" from the "Always" field.
  7. Press the "OK" button or the "Press" button to confirm.

To Cancel Calls Forwarding: From the main screen, press the "TRAN" button to cancel call forwarding.
