Overview

This document outlines the functions, usage, and maintenance features of a multi-function printer device. It covers various printing methods, handling different media types, and troubleshooting common issues like paper jams.

Function Description

The device primarily functions as a printer, supporting various printing methods from computers and mobile devices. It is designed to handle different types of print jobs, including standard documents, confidential prints, and held jobs. The printer also supports wireless connectivity options for mobile printing.

Usage Features

Printing from a computer: Users can print documents directly from a computer by accessing the Print dialog, adjusting settings as needed, and then initiating the print job. This is the standard method for printing from a desktop or laptop.

Printing from a mobile device: The printer offers multiple ways to print from mobile devices:

  • Mopria Print Service: For Android devices (version 5.0 or later), Mopria Print Service allows direct printing to Mopria-certified printers. Users need to download and enable the Mopria Print Service application from the Google Play store. To print, one launches a compatible application or selects a document from the file manager, taps the print icon, selects the printer, adjusts settings, and then prints.
  • AirPrint: For Apple devices, AirPrint provides a mobile printing solution for AirPrint-certified printers. The Apple device and the printer must be connected to the same network, ideally on the same subnet if multiple wireless hubs are present. Users select a document from their file manager or application, tap the print icon, select the printer, adjust settings, and then print.
  • Wi-Fi Direct®: This service enables printing to any Wi-Fi Direct-ready printer without needing an access point. The mobile device must be connected to the printer's wireless network. Users launch an application or select a document, tap the print icon (which may appear in different forms depending on the mobile device), select the printer, adjust settings, and then print.

Printing confidential and other held jobs: The printer supports secure printing for confidential documents and allows users to hold print jobs for later release.

  • For Windows users: From a document, users select "File > Print," then choose the printer and access its properties or preferences. They then select "Print and Hold," assign a user name, and choose the print job type (Confidential, Repeat, Reserve, or Verify). Confidential jobs require a Personal Identification Number (PIN). After sending the job, it can be released from the printer's home screen by selecting "Held jobs," the user name, the job type, entering the PIN (if confidential), configuring settings, and printing.
  • For Macintosh users (using AirPrint): From a document, users select "File > Print," then choose the printer and "PIN Printing" from the drop-down menu. They enable "Print with PIN," enter a four-digit PIN, and click "Print." The job is released from the printer's home screen by selecting "Held jobs," the computer name, "Confidential," entering the PIN, and printing.
  • For Macintosh users (using the print driver): From a document, users select "File > Print," then choose the printer and "Print and Hold." They select "Confidential Print," enter a four-digit PIN, and click "Print." To release, they go to the printer's home screen, select "Held jobs," the computer name, "Confidential," the print job, enter the PIN, and print.

Loading trays: Proper paper loading is crucial for optimal performance.

  • General procedure: Remove the tray, adjust the guides to match the paper size, flex, fan, and align the paper edges, then load the paper stack with the printable side faceup. For one-sided printing, letterhead should be faceup with the header toward the front. For two-sided printing, letterhead should be facedown with the header toward the back. Do not slide paper into the tray.
  • Important considerations: Ensure the stack height is below the maximum paper fill indicator to prevent jams. Do not remove trays while the printer is busy.
  • Loading the multipurpose feeder: Open the multipurpose feeder, adjust the guide to match the paper size, flex, fan, and align the paper edges, then load paper and card stock with the printable side facedown and the top edge entering the printer first. For envelopes and specialty media, ensure the stack height is below the dashed line. Insert the tray and set the paper size and type if necessary.

Setting the size and type of specialty media: The printer automatically detects the size of plain paper. For specialty media like labels, card stock, or envelopes, users must manually set the size and type. This is done from the home screen by touching "Settings > Paper > Tray Configuration > Paper Size/Type" and selecting the paper source.

Configuring Wi-Fi Direct: Wi-Fi Direct allows wireless devices to connect directly to the printer without an access point. Before configuring, ensure a wireless module is installed and "Active Adapter" is set to "Auto" (found under "Settings > Network/Ports > Network Overview"). From the home screen, touch "Settings > Network/Ports > Wi-Fi Direct." Users can then enable Wi-Fi Direct, assign a name and password for the network, choose to show the password on the setup page, and enable auto-acceptance of push-button requests. The Wi-Fi Direct network password is not visible by default on the printer display but can be enabled via "Settings > Security > Miscellaneous > Enable Password/PIN Reveal." It can also be viewed on the "Network Setup Page" under "Settings > Reports > Network."

Connecting a mobile device to the printer:

  • Using Wi-Fi Direct (Android only): Go to the mobile device's settings, enable Wi-Fi, tap "Wi-Fi Direct," select the printer's Wi-Fi Direct name, and confirm the connection on the printer control panel.
  • Using Wi-Fi: Go to the mobile device's settings, tap "Wi-Fi," select the printer's Wi-Fi Direct name (which includes "DIRECT-xy"), and enter the Wi-Fi Direct password.

Connecting the printer to a Wi-Fi network: Ensure a wireless module is installed and "Active Adapter" is set to "Auto." From the home screen, touch "Settings > Network/Ports > Wireless > Setup On Printer Panel > Choose Network," then select a Wi-Fi network and type the password. For Wi-Fi-network-ready printers, a prompt for setup appears during initial installation.

Maintenance Features

Replacing a toner cartridge: To replace a toner cartridge, open door B, remove the used cartridge, unpack the new cartridge, insert it, and then close door B.

Updating firmware: Regular firmware updates enhance printer performance and fix issues. To update, open a web browser, type the printer's IP address (found on the home screen) in the address field, then click "Settings > Device > Update Firmware." Users can either click "Check for updates > I agree, start update" or upload a flash file by browsing to it and clicking "Upload > Start." If using a proxy server, it should be temporarily disabled.

Clearing jams: The document provides detailed instructions for clearing paper jams in various locations.

  • Avoiding jams: Load paper properly by ensuring it lies flat, not overloading trays, and not sliding paper in. Use recommended paper that is not wrinkled, creased, damp, bent, or curled. Flex, fan, and align paper edges. Do not use hand-cut or trimmed paper, and avoid mixing paper sizes, weights, or types in the same tray. Ensure paper size and type settings are correct on the computer or control panel. Load envelopes with the flap side up and against the right side of the paper guide, with European envelopes entering flap first. Avoid using envelopes with stamps, clasps, snaps, windows, coated linings, or self-stick adhesives. Ensure the leading edge of paper or specialty media is aligned with the separator dam. Store paper according to manufacturer recommendations.
  • Identifying jam locations: The printer indicates jam locations. "Jam Assist" (if on) flushes blank or partially printed pages after a jam is cleared. "Jam Recovery" (if on or auto) reprints jammed pages. Jam locations include the standard bin, door A, trays, and multipurpose feeder.
  • Paper jam in trays: Remove the tray, then remove any jammed paper. Be cautious of static electricity when touching sensors inside optional trays.
  • Paper jam in the multipurpose feeder: Remove paper from the feeder, pull out the tray, and remove jammed paper.
  • Paper jam in the standard bin: Remove any jammed paper.
  • Paper jam in door A (fuser area): Open door A. The fuser area can be hot, so allow it to cool before touching. Open door A1, then the fuser access door. Remove jammed paper, then close and latch the fuser access door, door A1, and door A.
  • Paper jam behind door A (isolation unit): Open door A. Allow hot components to cool. Open the isolation unit door, remove jammed paper, then close and latch the isolation unit door.
  • Paper jam in the duplex area: Open door A. Allow hot components to cool. Open the duplex cover, remove jammed paper, then close the duplex cover and door A.

In all jam-clearing procedures, ensure all paper fragments are removed.
