Additional Information

Overview

The Crestron Flex UC Video Conference System Integrator Solution for Microsoft Teams® Rooms (UC-C160-T) is a professional-grade solution designed to enhance the Microsoft Teams software experience in small to midsize meeting and conference rooms. This system provides a robust platform for knowledge workers, allowing for flexible integration with existing audio and camera hardware, making it adaptable to various room configurations and user preferences.

Function Description

The UC-C160-T serves as the central hub for a Microsoft Teams Rooms setup, facilitating seamless video conferencing and collaboration. At its core is the UC-ENGINE, which powers the Microsoft Teams software experience. This engine is designed to integrate with a variety of peripherals, including video displays, USB cameras, and AEC-enabled USB speakerphones or DSP devices, offering a customizable solution tailored to specific room needs.

The system supports a dual-display setup, allowing for enhanced content sharing and participant viewing during meetings. A primary display is essential, and an optional secondary display can be added for increased screen real estate. The UC-ENGINE connects to these displays via HDMI, ensuring high-quality video output.

Audio integration is a key feature, with support for AEC-enabled USB speakerphones or DSP devices. This ensures clear audio capture and playback, crucial for effective communication in a conference setting. The system also accommodates a USB camera, providing the visual component for video calls. The flexibility to choose specific camera and audio hardware allows integrators to select components that best suit the room's acoustics, lighting, and size.

For user interaction, the system includes a TS-1070-B-S-T-V tabletop touch screen device. This touch screen acts as the primary control interface for the Microsoft Teams Rooms experience, allowing users to initiate meetings, manage participants, share content, and control various aspects of the conference. The touch screen can communicate with the UC-ENGINE through two primary methods: a direct connection or a network connection. The direct connection offers a simplified installation and setup, ideal for straightforward deployments. The network connection, on the other hand, enables full network control of the touch screen, allowing it to be managed by the Crestron XiO Cloud™ service, which is beneficial for larger deployments requiring centralized management.

The UC-C160-T is designed to operate within a Microsoft Teams or Skype® for Business software environment. It requires an active software account and an environment running Microsoft Exchange Server® software (2013 SP1 or later for on-premises installation or Microsoft 365™ software for Cloud) for scheduling purposes. Additionally, it needs Skype for Business 2015 (on-premises installation or Microsoft 365 software for Cloud) for its core functionality. This ensures compatibility and full utilization of Microsoft's collaboration ecosystem.

The system also supports laptop integration, allowing users to connect their personal devices to the conference system for content sharing or other collaborative tasks. This enhances the versatility of the meeting room, making it suitable for a wide range of presentation and collaboration scenarios.

Usage Features

The UC-C160-T is designed with ease of use and flexibility in mind, catering to both installers and end-users.

For installers, the system offers two distinct connection methods for the touch screen to the UC-ENGINE: direct and network. The direct connection simplifies the wiring process, reducing setup time and complexity, particularly in smaller rooms where the touch screen is in close proximity to the UC-ENGINE. This method uses a direct Ethernet connection via a PoE injector, providing both power and data. The network connection, while requiring more network configuration, offers the advantage of remote management through Crestron XiO Cloud, which is invaluable for large-scale deployments across multiple rooms or locations. This allows IT administrators to monitor, configure, and troubleshoot devices from a central location, improving efficiency and reducing on-site visits.

The modular design of the UC-C160-T allows for the selection of specific audio and camera hardware. This is a significant advantage, as it enables integrators to choose devices that are best suited for the unique acoustic and visual characteristics of each meeting room. For example, a large boardroom might require a more powerful DSP and multiple microphones, while a smaller huddle space might only need an integrated USB speakerphone. This flexibility ensures optimal performance and user experience in diverse environments.

The TS-1070-B-S-T-V touch screen provides an intuitive interface for controlling meetings. Its ability to display a list of applications and allow users to select "Teams Video" simplifies the process of launching the conferencing software. The touch screen's web-based configuration interface allows for easy setup of network parameters, Teams Video PC address, port, username, and password, ensuring that the system is properly integrated into the Microsoft Teams environment.

The UC-ENGINE is designed for discreet installation, typically mounted using the UC-BRKT-100-ASSY bracket assembly. This bracket helps organize cables and secure the engine, contributing to a clean and professional installation. The system's power management is straightforward, requiring power to the UC-ENGINE and other devices to be applied after all connections are made.

Content sharing is facilitated through the laptop connection, allowing participants to easily display presentations, documents, or other media on the room's displays. The dual-display support further enhances this capability, enabling simultaneous viewing of shared content and video feeds of remote participants.

The system's reliance on Microsoft Teams or Skype for Business accounts ensures that users can leverage their existing collaboration infrastructure, making it easy to schedule and join meetings. The requirement for advance account preparation (two to three weeks) highlights the importance of proper planning to ensure a smooth deployment and avoid delays.

Maintenance Features

The UC-C160-T is designed with several features that simplify maintenance and ensure long-term reliability.

The UC-BRKT-100-ASSY bracket assembly not only aids in installation but also helps in cable management. Integrated cable tie wraps are provided to bundle cables, keeping the wiring neat and organized. These wraps are reusable, which simplifies future maintenance or modifications, as cables can be easily unbundled and re-bundled without needing new ties. This organized approach to wiring makes troubleshooting easier by clearly identifying connections.

The connector covers on the UC-BRKT-100-ASSY bracket assembly protect the UC-ENGINE connections from dust and accidental disconnections. These covers are secured with screws, and the manual provides instructions for their removal and replacement. For enhanced security, spanner screws are included, which require a special bit for removal, deterring unauthorized tampering. This physical security measure helps protect the system's integrity.

The network connection option for the TS-1070-B-S-T-V touch screen allows for remote management via the Crestron XiO Cloud service. This cloud-based platform is a powerful tool for maintenance, enabling IT administrators to remotely monitor the health of the system, push firmware updates, configure settings, and diagnose issues without needing to be physically present in the room. This significantly reduces maintenance costs and downtime, especially for organizations with numerous meeting rooms.

The web-based configuration interface of the TS-1070-B-S-T-V touch screen provides a convenient way to manage its settings. By accessing the touch screen's IP address from a computer on the same network and VLAN, administrators can adjust parameters, troubleshoot connectivity issues, and ensure the touch screen is properly configured for the Microsoft Teams environment. This remote access capability streamlines configuration and maintenance tasks.

The system's reliance on standard USB and HDMI connections for peripherals simplifies component replacement. If a camera, speakerphone, or display needs to be replaced, standard off-the-shelf devices can often be integrated, reducing proprietary hardware dependencies and making it easier to source replacement parts.

The comprehensive documentation, including the Crestron Flex Pre-Deployment Checklist, TS-770 and TS-1070 Product Manual, and Crestron Flex UC Video Conference Systems Supplemental Guide, provides valuable resources for both initial setup and ongoing maintenance. These guides offer detailed instructions, troubleshooting tips, and best practices, empowering installers and IT staff to effectively manage the system.

The requirement for a Microsoft Teams or Skype for Business software account to be prepared in advance (two to three weeks) is a proactive maintenance measure. It ensures that the necessary software infrastructure is in place and ready before hardware installation, preventing potential delays and ensuring a smooth operational start. This planning also helps in verifying account permissions and configurations, which are critical for the system's functionality.

Overall, the UC-C160-T is designed to be a robust and manageable solution, offering flexibility in deployment, ease of use for participants, and streamlined maintenance for IT professionals.
