Overview

This document provides instructions for downloading and installing new postal tariffs and services for Pitney Bowes DM100 and P720 Series franking machines. The new rates, effective March 26, 2018, are for Royal Mail products and services.

Function Description:

The Pitney Bowes DM100 and P720 Series franking machines are designed to apply postage to mail items. They utilize the standard Royal Mail Franking Tariff and print a frank that includes the date, postage amount, and a unique identification number (e.g., PB346800). These machines require regular updates to ensure they reflect the latest Royal Mail products, services, and rates. The download instructions detail the process for updating the machine's internal software with these new tariffs. The updates are crucial for accurate postage calculation and compliance with postal regulations. The machine stores the new tariffs in its memory and automatically activates them on the specified rate change date.

Usage Features:

The franking machine's primary usage involves applying postage. To facilitate this, it needs to be connected to a network for downloading updates. This connection can be established via a phone line or PC Meter Connect, depending on the specific model. The update process is initiated through the machine's main screen by selecting the 'Add Postage' key, followed by 'Check PbP Balance.' The machine then automatically dials or connects to the Pitney Bowes server. Once connected, the 'Add Postage' screen appears, and users can choose to skip adding funds if their primary goal is to download rates.

The machine is designed to check for, download, and install new rates automatically. After the update is complete, users are prompted to follow on-screen instructions until they return to the main screen. In some cases, the machine may request a reconnection for further upload/download, which should also be followed. On the actual day of the rate change, the machine will prompt for a final upload/download to activate the new rates.

A key feature is the ability to check if new rates have already been downloaded. If the machine returns to the home screen immediately after selecting 'No' to adding funds, it's an indication that the new rates might already be present. Users can confirm this using a dedicated online tool provided by Pitney Bowes.

The machine also has a feature that allows users to advance the printing date. However, it's important to note that advancing the printing date to or beyond the rate change date (March 26, 2018) will activate the new postal rates, and this action cannot be reversed. This feature provides flexibility but requires careful handling to avoid premature activation of new rates.

For users who employ a lock code for their machine, this code will need to be entered during the update process, adding an extra layer of security.

Maintenance Features:

Maintaining the franking machine primarily involves ensuring its software is up-to-date with the latest postal tariffs. This is a critical aspect of its operation, as incorrect postage can lead to mail delays or surcharges. Pitney Bowes provides a dedicated website for checking if new rates have been downloaded, which serves as a maintenance tool for users to verify the status of their machine's tariff data.

Troubleshooting connection problems is another aspect of maintenance. The document provides links to various support articles on the Pitney Bowes website, addressing issues related to SmartLink connections, LAN connections for different DM and DMi series models, and PC Meter Connect issues. These resources are essential for users to diagnose and resolve connectivity problems that might prevent successful tariff downloads.

For users with analogue lines, Pitney Bowes offers a SmartLink™ digital connection, which is promoted as a way to save time on downloading new rates and software. This suggests that upgrading the connection type can be a maintenance step to improve efficiency and reliability of updates. The company offers a free SmartLink™ for this purpose, encouraging users to transition to a more modern and potentially faster connection method.

The document also highlights the availability of technical assistance, including installation guides, operator manuals, how-to articles, and troubleshooting guides, all accessible via the Pitney Bowes support website. These resources are vital for ongoing maintenance, user education, and resolving any operational issues that may arise with the franking machine. Regular consultation of these resources ensures the machine operates optimally and remains compliant with postal regulations.
