Overview

This document describes the SIP Presence feature for Grandstream UCM6xxx Series devices, including UCM620x, UCM630x, UCM630xA series, and UCM6510. The SIP Presence feature enhances user monitoring capabilities on the UCM6xxx and extends the utility of Multi-Purpose Keys (MPKs) on supported endpoints.

The primary function of SIP Presence is to provide users with more informative status updates about coworker phone extensions beyond the basic Busy Lamp Field (BLF) functionality. While BLF indicates line connectivity and calling status (Idle, Ringing, Connected), SIP Presence offers a broader view of an extension's general state, such as Available, Busy, or Do Not Disturb (DND). This allows users to publish their own presence state and subscribe to the presence status of other extensions, receiving notifications about any status changes.

Usage Features:

The SIP Presence feature offers several ways for users to set and monitor presence statuses:

  • Setting Presence Status via Admin Web Interface: Administrators or users with appropriate permissions can access the UCM Web GUI by navigating to "Extension/Trunk -> Extensions -> Features" to manage presence statuses. The system provides six predefined statuses:

    • Available: Indicates the contact is online and ready for conversations or phone calls.
    • Away: Signifies the contact is currently away, for example, on a lunch break.
    • Chat: Implies the contact has limited conversation flexibility and can only be reached via chat.
    • Do Not Disturb (DND): Means the contact is in DND mode.
    • Custom Presence Status: Allows users to define a personalized status. When selected, a field appears to enter the custom status (e.g., "InMeeting").
    • Unavailable: Indicates the contact is unreachable at the moment.

    When a user selects a status, a NOTIFY message is sent to all subscribed presence watchers, announcing the new status. The default status is 'Available'. A new column has been added to the main Extensions page in the Admin Web Interface, simplifying the viewing of all extensions' Presence Statuses.

  • Setting Presence Status via User Portal: Users can also log in to their individual user portal to view and edit their presence status. This feature is accessible by navigating to "Basic Information -> Extensions -> Features" within the user portal. The same six predefined and custom statuses are available for selection.

  • Setting Presence Status via Feature Code: For users without web access, the Presence feature can be managed using a feature code. By dialing the default feature code, *48 (which can be customized in "Call Features -> Feature Codes" on the Web GUI), users receive voice prompts with options to choose their desired presence status. The options are typically presented in a specific order:

    1. Unavailable (Press '1')
    2. Available (Press '2')
    3. Away (Press '3')
    4. Chat (Press '4')
    5. DND (Press '5')
    6. Custom Presence Status (Press '6') - When '6' is pressed, the extension will use the custom status previously set via the web GUI.
  • Monitoring Presence Status using VMPKs (Virtual Multi-Purpose Keys): Supported Grandstream GXP phones can use VMPKs to monitor the presence status of other SIP entities. Prerequisites include a GXP phone with presence watcher support (refer to the "SUPPORTED DEVICES" section) and a registered SIP account on the same UCM6xxx as the monitored extension. The configuration involves accessing the phone's web UI at "Settings -> Programmable Keys -> Virtual Multi-Purpose Keys." Users can select "Presence Watcher" as the mode for a VPK and enter the extension number to monitor. Once configured, the phone's VMPK will display the monitored extension's status with an icon and an LED indicator. Different presence statuses are indicated by distinct icons on the LCD, varying LED colors, and label colors (on GXP21XX, GRP261x, GRP2624/GRP2634 phones). For example:

    • Available, Away, Custom Status: Typically show a green LED and specific icons.
    • Chat, DND: Typically show a red LED and specific icons.
    • Unavailable: Typically shows an OFF LED and a specific icon. The specific icons and LED behaviors vary slightly between phone models (e.g., GXP21XX/GRP261x/GRP2624/GRP2634 vs. GXP17XX).
  • Monitoring Presence Status using Extension Boards and MPKs (Physical Multi-Purpose Keys): Users can also configure presence watchers on physical MPKs on phones like GXP2130, GXP2160, and GXP1628, or on connected Extension Boards (e.g., GXP2200Ext for GXP2140 and GXP2170). The configuration path is "Settings -> Programmable Keys -> Physical Multi-Purpose Keys" or "Settings -> Extension Boards" on the phone's web UI. When using physical MPKs, the Presence Watcher feature has a more limited LED indication compared to VMPKs:

    • Chat, DND, Unavailable: LED Off.
    • Available, Custom Status, Away: LED On. Examples show how extension boards visually represent statuses like Available (LED On), DND (LED Off), and Unavailable (LED Off).

Maintenance Features:

  • Firmware Compatibility: The SIP Presence feature requires UCM6xxx devices to be running firmware version 1.0.14.23 or higher. Endpoints must also support the presence watcher feature, with specific firmware versions required for different phone models (e.g., GXP21XX series requires 1.0.9.25 or higher, GXP17XX series requires 1.0.1.28 or higher, GXP16XX series requires 1.0.4.67 or higher, GRP260X series requires 1.0.1.18 or higher, and GRP261X series requires 1.0.0.16 or higher). Ensuring devices are updated to the recommended firmware is crucial for proper functionality.
  • Configuration Management: The UCM Web GUI and user portal provide centralized interfaces for managing presence statuses and feature codes, simplifying configuration and updates across the system.
  • Visual and LED Indicators: The use of distinct icons, LED colors, and label colors on supported phones helps users quickly identify the presence status of monitored extensions, reducing the need for manual checks.
  • Customization: The ability to define custom presence statuses allows organizations to tailor the system to their specific operational needs and communication protocols.
  • Feature Code Accessibility: Providing a feature code option ensures that users without immediate web access can still update their presence status, enhancing flexibility and usability in various work environments.
