3.6 Major Operations when Returning an MFP
3.6.1 Overview
Various kinds of user data are stored in the MFP. In order to protect those data or prevent them from
being leaked, it is necessary to delete them in the MFP when it is returned. However, when the MFP is
replaced with a new one, it is necessary to back up those data before deleting them so that they can be
stored in a new MFP.
Notes:
As for a leased MFP, a leasing company has its ownership rights. Therefore, check the leasing
contracts.
3.6.2 Details
[ 1 ] Data deletion type
1. System initialization
The user performs this operation by using the control panel. Deletion of user data and initialization of
settings are automatically performed in batch processing. For details about data to be initialized and
operation method, refer to the MFP Management Guide.
Receiving jobs and implementing them after the initialization are possible.
2. Decommissioning
A service technician performs this operation by means of the self-diagnostic mode. Deletion of user
data and initialization of settings are automatically performed in batch processing. The available
area to be deleted is larger than that for “1. System initialization”.
After decommissioning, the MFP enters into the mode for stopping receiving and implementing jobs.
Processing results are displayed on the touch panel screen. Only the operation of the [ON/OFF]
button is available. Cancellation of the decommissioning mode can be performed by means of the
self-diagnostic mode.
3. Erasing data in the HDD
A service technician performs this operation by means of the self-diagnostic mode. All the data in
the HDD are overwritten.
The operation method differs depending on the installed HDD (Secure HDD or Normal HDD).
Therefore, check the HDD and perform this operation by referring to the Service Manual for each
model. After this operation has been done, normal startup is no longer possible.
Remarks:
Due to requests from users, filling out of a certificate regarding HDD destruction or data erasing
may be necessary.
Follow their requests during the operation.
[ 2 ] Data backup
Restoring the data of the MFP to be replaced into a new one, back them up before performing data
deletion.

[ 3 ] Reuse
Reuse is to use again an MFP returned from the field. When reusing the MFP which has had
decommissioning applied, carry out the cancellation of this decommissioning. After this has been done,
receiving jobs and implementing them become possible.
