APPENDIX D: System Manager Handbook
Introduction
The “System Manager Handbook” contains vital information pertaining to
passwords and menus not found elsewhere in Getting Started or the user
manuals.
As the system manager, you are responsible for distributing and controlling
the passwords being used for access into the Dimensions system. The
standard passwords come set up already. However, you may feel it necessary
or desirable to change these standard passwords. The information in this
handbook will help you maintain the password file. You can change and add
passwords with the understanding that you are responsible for knowing what
they are and can recreate them if necessary. However, there are certain
passwords that should never be changed or accessed under any circumstance.
Please read the password list carefully.
Along with passwords, the latest version of the menus comes set up on your
system. Menus are tied to passwords. Certain passwords will get you to
certain menus. The Dimensions Main Menu contains all the different
modules such as Point of Sale, Inventory, Accounts Receivable, Accounts
Payable, and so on. Not everybody needs access to all of these areas.
Especially during your installation phase, you will be using different
passwords and menus than you will in regular, day-to-day use. Your
implementation specialist will go over the passwords and menus thoroughly.
Be sure to ask any questions you may have.
Like passwords, menus can be changed as well. You could design customized
menus but you need to keep track of the changes you make. When
Dimensions sends out program update and software releases, we may send
the menu file again to accommodate new programs. If you have changes your
menus, be sure you can recreate them.
You will also find a section on common error messages. It will list system
failures, exception errors, Basic and SuperDOS errors, and program errors
giving the probable cause and any comments to help you alleviate the
problem.
There is also a section on what to do in case of a power failure or electrical
storm. Even though it is rare you will experience a power outage or electrical
storm, you should know what to do to protect your computer system and the
data it contains. It is wise to train all personnel what to do in case of a power
failure. It could save you time in recreating data and money in computer
repairs and downtime.
And finally, there is a section on the Variable File options for A/R and
Inventory which control the fields displayed when doing maintenance under
those modules. You can set up certain passwords to view only certain fields.
One last word, since this handbook contains system security information, it is
up to you to keep tabs on it. Make it available only to those authorized and
responsible for system management. Your computer is a powerful tool.
