Part 5: Variable File Options for Inventory & A/R
There are several options in the Variable File which help you define which
fields in certain files can be displayed under specific passwords. This allows
you to tailor the add programs for inventory and A/R to display only the
fields that need to be entered by the person using that password. You can
also tailor the A/R File Inquiry to display only certain fields when someone
accesses that program from a certain password.
Add IM1/IM2 Fields
The purpose of this Variable File record is to define which fields in the
inventory files (IM1.D, IM2.D, OM4.D, IM9.D, and BC1.D) can be added by
password account name. The program under
Inventory File Maintenance, Add New
Inventory Items
(DS03011A), will look for this record. If it exists and fields are
checked, then this record will control the access to those fields. If this record
does not exist or if no fields are checked, then all fields will be available for
the password account.
1 From the
Dimensions Main Menu, select 2 for Inventory.
2 Select 9 for
Inventory Variable File.
3 Select 6 for
Password Account Options.
4 Select 1 for
Add IM1/IM2 Fields.
5 The computer displays:

The cursor is positioned at 1. Enter Password Account. Enter the account name of
the password you wish to add. This is not the actual password you enter on
the password screen. It is the account name assigned to the password. It can
be obtained by using the password file maintenance program. See Part 1:
PASSWORDS, PASSWORDFM - How to Create a New Password for more
information on “Account Name”.
6 The cursor moves to the first field in the first column (
2. Mfg Name). Enter an
X next to the fields you wish to make available to this password account or
press Enter to skip a field.
) NOTE: Fields 1-4 cannot be changed because they are keys to the file.
